General

What is XivoERP?
A complete ERP for growing companies: double-entry accounting, sales, purchasing, inventory, banking, pricing, projects, business partners and reporting — every module posting to one ledger, with multi-branch support and a full audit trail. It runs in the browser, so there is nothing to install.
Who is it built for?
Small and mid-sized companies that want accurate, auditable books without spreadsheets — trading, distribution, services and project businesses, from a single company to several branches under one organization.
Can we use XivoERP outside the UAE?
Yes. The company behind XivoERP is based in the UAE, but the product is not. You pick your base currency when you create your organization, tax codes are yours to define, and the chart of accounts is yours to shape. Customers anywhere can run their books on it.
Can we run multiple branches?
Yes. Branches live under one organization with one consolidated set of books; every dashboard and report filters by branch or shows all, and postings are tagged to their branch through journal dimensions. You can also keep several separate organizations under a single login and switch between them.
Is it a real double-entry system?
Yes. Every document — invoice, bill, payment, stock movement, revaluation — posts balanced journal entries through a posting engine that rejects anything unbalanced. The trial balance always ties out because there is no other way to write to the ledger.

Accounting & compliance

Does it handle VAT, GST or sales tax?
It has a general tax-code engine. You define each code with its rate, whether it calculates inclusive or exclusive of the line amount, its recoverable percentage, and whether it applies to input or output. That covers UAE VAT at 5%, but equally VAT or GST wherever you trade. Tax posts to the ledger like every other figure; the tax summary report gives output against input for the period, and the tax-code activity report lists every document behind every number.
Does it support multiple currencies?
Yes. You choose your base currency when you create the organization, and 17 currencies ship in the currency master. Exchange-rate sets go through a submit-and-approve workflow, currency revaluation runs post unrealized gains and losses, and revaluations are reversible. FX rate usage and revaluation reports show exactly what moved.
What reports are included?
A catalog of 29 reports: balance sheet, profit & loss, cash flow, changes in equity, working capital, trial balance, general ledger, journal register, AR/AP ageing, customer and supplier balances and statements, sales/purchase/receipt/payment registers, inventory valuation, stock movement, slow-moving stock, bank reconciliation, tax summary, tax-code activity, posting audit, login audit and executive summary — with saved presets, point-in-time snapshots and exports.
Is there bank reconciliation?
Yes. Import a bank statement and XivoERP auto-matches it against the ledger, leaving matched, unmatched and differences on screen for you to settle. Cheques are tracked through issue and clearing, and bank balance and transaction reports read the same records.
Will our books satisfy an auditor?
That is what the design is for. Only balanced journals reach the ledger, every figure drills back to the document that created it, the posting audit report reconstructs what was posted and by whom, and the login audit report tracks access. The same trail works for an auditor in any jurisdiction.

Sales, purchasing & stock

What does the sales flow cover?
Quotation to sales order to invoice to receipt, each step carrying the previous document forward. Receipts allocate across invoices, credit notes reverse cleanly, and AR ageing, customer statements and the sales register all read the same postings.
Does purchasing match receipts to bills?
Yes, and the match is enforced rather than advisory. Raise a purchase order, receive the goods, then bill against that receipt: a line that exceeds the quantity received is rejected when you save the bill and again when you post it, and the same delivery cannot be billed twice — on the receipt or against the order behind it. Receiving more than the order allows is refused the same way. Goods received but not yet invoiced sit in a GRNI account until the bill posts and clears it — and if the supplier invoices at a different unit price than the goods were received at, the difference posts to purchase price variance rather than leaving a residual behind. Debit notes, payment allocation, AP ageing and supplier statements complete the cycle. A bill typed in on its own, with no order or receipt behind it, is not matched against anything — that is deliberate, since not every supplier invoice starts as a purchase order.
How is inventory valued?
FIFO or weighted average, set as a policy with an effective date so a change in method applies from the date you choose rather than rewriting history. Valuation, stock movement and slow-moving stock reports tie inventory to the balance sheet.
Can we track serial numbers and batches?
Yes. Items can be tracked by serial number or by batch, moved between warehouses through transfers, and written off with the reason recorded. Every movement carries its source document.
How does pricing work?
Price lists, per-customer pricing, discounts and promotions, resolved automatically on the document. A price simulator lets you check what a given customer would pay for a given item before you commit to it.
Can we cost projects or jobs?
Yes. Job cards collect material and labour against a project, so you can see cost and profit per job rather than only at company level.

Data & security

Where does the system run?
XivoERP is cloud-hosted and managed by RapidGoo — no servers for you to maintain, wherever you are. Each organization's data is isolated, and access is controlled with granular per-module permissions.
Who can see what?
Permissions are set per module and per action, and users can be scoped to specific branches. You invite people by email and they join with exactly the access you granted.
Is there an audit trail?
Yes — the ledger accepts only balanced postings, the posting audit report reconstructs what was posted and by whom, and the login audit report tracks access.
Can we get our data out?
Reports export from the catalog, documents print to PDF, and your ledger is queryable through the report suite. Your data is yours.
Do documents carry our branding?
Yes. Generated PDFs use your company details, and you can add a digital signature and a company stamp so an invoice or statement leaves the system ready to send.

Access

Is there a mobile app?
There is no separate app to install. XivoERP runs in any modern browser, including on phones and tablets.
What languages are supported?
The interface is English. Documents print with your own company details and branding.

Pricing & onboarding

How is XivoERP priced?
Per active user per month, in US dollars, at one rate worldwide. Three packages: Books at USD 19 for businesses that hold no stock, Business at USD 35 which adds purchasing and inventory, and Advanced at USD 59 which adds project job costing plus customer feedback and document collection. Every package includes the full double-entry ledger, banking, selling and all 29 reports. You are billed for the users you have active, minimum one.
Do we pay less for a longer term?
Yes. Monthly billing is the list price, six-monthly takes 5% off, and annual takes 10% off. The discount is the same whichever package you are on.
Which package do we need?
The dividing question is whether you hold stock. If you sell services and never carry inventory, Books covers you. If you buy goods, receive them and pay supplier bills, you need Business. If you cost work job by job and invoice from the project — or you want to collect ratings, testimonials and documents from your customers through secure links — choose Advanced. You can change package as the business changes, from the subscription page.
What counts as a user?
An active membership in your organization. The person who created the organization counts as one of them, so a two-person business pays for two seats. Add or remove people as your team changes.
Is there a free trial?
Yes — 14 days, self-serve, no card required. Your organization is provisioned with a ready chart of accounts so you can post from day one.
