The commercial terms: what each package costs, how a billable user is counted, what the free trial includes, how you pay, and what happens at renewal or if you stop paying.

One rate per user per month, in US dollars, the same in every country. Every package includes the full double-entry ledger, banking, sales and all 29 built-in reports. What changes is how much of the supply chain you run.

The dividing question between Books and Business is whether you hold stock. If you sell services and never carry inventory, Books covers you. If you buy goods, receive them and pay supplier bills, you need Business.
You can change package as your business changes, yourself, from the subscription page — how upgrades, downgrades and term changes are charged is set out in clause 5.
You are billed for the people who are active on your account, not for a seat allowance you bought in advance and not for a maximum.
The count is taken at the moment an invoice is raised, so adding people mid-period affects the next invoice rather than the current one.
Every new organization gets 14 days free. No credit card is required and nothing is charged during the trial.
The trial is the full product on the package you chose — not a cut-down version. Your organization is created with a ready chart of accounts so you can post from day one.
When the 14 days end, access to the modules in your package stops until a payment is recorded. Nothing is deleted. Sign in, pay, and everything you entered is exactly where you left it.
Choose how far ahead you pay. The rate per user is the same; only the discount changes.

The calculation is: rate per user × number of active users × number of months, less the discount for the term. Amounts are shown before you commit, on the subscription page.
Review a change on the subscription page before you commit: it shows exactly what is due today, what you are credited for, and when the change takes effect. The rules, plainly:
Where a change costs money today, you pay it the same way as any other payment — clause 6. During a free trial there is no prepaid time to credit, so changing package from a trial is simply a full purchase of the new package and term.
Bank transfer is the payment method today. The subscription page shows the amount due and the account to send it to. Transfer the amount, then upload proof of payment — a JPEG, PNG or PDF up to 2 MB — with the bank reference, and quote your organization name so we can match it.
A person at RapidGoo reviews each submission and activates the subscription on approval. If a submission is rejected you will see the reason and can submit again. Because review is manual, allow a business day.
Card payment is not currently available. The card feature exists in the product but is switched off, because no payment processor is connected to it yet. We would rather have you pay by transfer than have the system tell you a card payment succeeded when no money moved. When a real gateway is in place, we will say so here.
Every payment produces a numbered subscription invoice, emailed to the account owner and available to download as a PDF from the subscription page. It shows the package, the number of users billed, the rate, the term and the period covered.
Prices are exclusive of any taxes or bank charges that may apply where you are. You are responsible for any transfer fees your bank charges.
A subscription covers a fixed period. As that period ends, we check whether it has been paid for the next one.
If it has not, the subscription moves to awaiting payment and access to the modules in your package stops. You can still sign in, and you are taken to the subscription page to settle it.
Two things we want to be clear about, because other products differ:
Cancel by telling us before the end of your current period, and it will not renew. You keep access until the period you have paid for runs out.
Payments already made are not refunded for time you did not use — a term you chose for a discount is a commitment for that term. If something has gone wrong on our side, talk to us; we would rather sort it out than point at a clause.
Export before you go. Reports and document listings export to CSV, and documents print to PDF, at any time while you have access.
We may change prices. Existing subscribers get at least 30 days’ notice by email before a change applies, and it never applies to a period you have already paid for. If you do not accept a new price, cancel before your next renewal.
